Our story
Built by a worker, for workers and managers.
RotaHive began with first-hand experience of complex hospital rotas, where managers balance service needs, safety and constant change while workers need fairness, visibility and a stronger voice.
RotaHive was created by a doctor who experienced first-hand how much complexity sits behind every rota. Managers were expected to balance service requirements, safety, fairness, leave, individual circumstances and constant change, while workers often had limited visibility or control over patterns that shaped their lives.
The problem was not a lack of effort. It was a lack of connection. Workforce information, rules, requests and operational needs were spread across people, spreadsheets and disconnected systems.
RotaHive was built around a simple belief: a workforce works best when capable individuals are intelligently coordinated around a shared purpose.
“Great things happen when organised individuals work together.”
Our product principles
People remain visible
Workers should never become anonymous rows in a schedule.
Automation explains itself
Important suggestions and warnings should have understandable reasons.
Managers remain in control
The system supports decisions rather than pretending context does not matter.
Fairness is a feature
Allocation and opportunity should be measurable and transparent.
Complexity stays behind the interface
Advanced rules should produce a calm, usable experience.
The problem
Workforce scheduling should not be this difficult.
Rotas take too long to build
Managers balance staffing, contracts, leave, skills, preferences and requests across multiple disconnected tools.
Problems appear too late
Coverage gaps, missing skills and unsafe patterns may only become obvious after publication.
Workers lack visibility
Team members struggle to see leave opportunities, understand allocations or manage changes.
Every change creates more work
Sickness, demand changes and swaps create repeated manual administration.
The solution
One intelligent platform for your whole workforce.
Six connected capabilities working from one shared plan, so managers and workers always see the same picture.
Build
Create rotas around demand, skills, contracts, working patterns and availability.
Check
Identify gaps, conflicts, rule breaches and missing capabilities before publication.
Balance
Support fair distribution of nights, weekends and unpopular duties.
Adapt
Respond to sickness, leave, demand and last-minute cover needs.
Communicate
Give workers clear access to rotas, requests and changes.
Understand
Use insights to improve staffing, fairness, cost and workforce planning.
The platform
Every part of the rota, connected

- Identify risks earlier.

- Improve oversight and reporting.
- See schedules and changes clearly.
- Submit availability and preferences.
- Understand leave opportunities.
- Request changes and swaps more easily.
- Benefit from clearer, fairer allocation.
How it works
From workforce rules to a published rota, in four steps
- 1
Set your workforce rules
Define shifts, staffing numbers, roles, skills, contracts and organisational requirements.
- 2
Understand your people
Record availability, working patterns, restrictions, preferences and leave.
- 3
Build and validate
Create the rota and check it for gaps, conflicts, fairness and risk.
- 4
Publish and adapt
Share schedules, manage changes and monitor workforce status from one place.

Why RotaHive
Intelligence that supports decisions, not a black box that replaces them.
RotaHive highlights risks, explains why they matter and suggests possible actions. Managers remain in control of important workforce decisions.
- Every warning shows the rule or requirement that triggered it.
- Suggestions are options to review, not decisions made for you.
- Overrides are recorded with a reason, so the reasoning is visible later.
Rest period risk: R. Patel, Thursday night
Draft rota · Front-of-house team · Week 36
Why this matters
Thursday night finishes at 07:00 and Friday early starts at 14:00. That leaves 7 hours of rest. Your organisation’s rule requires at least 11 hours between shifts.
Possible actions
- 1Move R. Patel’s Friday shift to the late shift (starts 16:00).
- 2Swap Thursday night with L. Moreau, who has no Friday shift.
- 3Keep as drafted and record a manager override with a reason.
Nothing changes until a manager chooses an action.
